We use the information you share with us in three ways;
Firstly, to enable us to provide a person centred service and to promote health, wellbeing and safeguarding, and to secure payment for the services we provide where appropriate.
Secondly to enable us to collect information to help us to improve our services, develop the programmes that we provide and help us to seek funding for services.
Thirdly, to enable us to send you information about events, fundraising and new programmes we are running or involved with.
The categories of this information that we collect, process, hold and share include:

The lawful basis on which we use this information
We collect and use this information under ‘consent’. This means that you have given clear consent for us to process the personal data you have shared for the specific purposes we have explained.
What if you do not give your consent?
If you do not give consent to us collecting, storing, and processing storing your data we would be happy to discuss your concerns and work with you with regards to which services we could provide.
When you consent to our service processing your personal data, we process it in the following ways
Collecting
We collect the information you share with us through telephone conversations, texts, emails, social media, website submissions and face to face contacts.
Storing
The data we collect is stored on a file hosting service operated by Microsoft accessed via the internet. Information is also stored on the computers we use to access the database so that the data is secure in the event of computer failure, theft, fire etc.
Access to the file hosting is through a secure login process. Data can only be accessed by authorised users who are members of the Involve Active team.
Where we have collected your information on paper (application forms) these are kept in a secure filing cabinet in a locked office, this can only be accessed by authorised users who are members of the Involve Active team.
The data we collect is also stored on a financial management system, which has a secure log in process accessed by senior staff.
Data can be collected via recruitment websites and the information will be collected stored and used in the recruitment process. Where candidates are unsuccessful their data will be destroyed.
The BBO Minding the Gap project stores data on Civi CRM owned by and looked after by Community Action Suffolk, The Big Lottery Fund and European Social Fund. Which has a secure log in process accessed by senior staff.
Sharing
We would not ordinarily share personal information with third parties, exceptions to this would be:
In the case of an emergency we may share details with professionals (paramedic etc.)
Senior staff may attend multi agency meetings to discuss an individual’s progress and future needs.
In a safeguarding concern we may be required by law to share information with the police or social services etc.
Statistical/Funding reports
Where you have given consent to us collecting, storing and processing your information for statistical reports, any reports we create and share will be anonymised so that individuals cannot be identified within the data. This type of data may be shared with interested organisation such as the Local Authority, The Big Lottery, European Social Fund etc.
Marketing
Where you have given consent to be contacted about news and events we will not share your contact details with any third party.
Destroying
We delete/anonymise the information you have given us after 1 year from the last contact unless you are still in contact with the service.
Your Rights
Under data protection legislation, individuals have the following rights
Right to request access to the information we hold about you.

If you believe the data we hold about you is inaccurate you can request that we change it.
Right to erasure / Right to be forgotten
If you no longer wish to consent to our storing or processing the data we hold about you can request that we delete or anonymise it?
Right to restrict processing
You can request that we only use the data you provide for one or two of the purposes that we have described. For example, only for service provision and not for statistical or marketing purposes.
Right to object to processing
If you no longer wish to consent to processing, you can ask us to stop processing your data.
Right to portability
You can request that we supply you with all the data that we hold on your records. This would currently be supplied as a set of printed pages.
Right to compensation
If you believe that you have suffered loss or damages caused by a breach of the Data Protection as a result of data processing by Involve Active or if you have a concern about the way we are collecting or using your personal data, we request that you raise your concern with us in the first instance.
